What happens to sample and tooling fees when a bulk order is placed?
Sampling and tooling are charged. They can be credited against a subsequent bulk production order; the applicable credit conditions are confirmed in the project quotation. Confirm the eligible style, order, amount and any time limit before paying.
Keep the quotation and credit agreement with the sample approval. Ask whether the credit applies to the same style, which production invoice will show it and what happens if the specification changes. Do not assume that a production credit is a cash refund.

Which tooling and design arrangements should be written down?
Confirm physical mold ownership, design rights, storage, maintenance and transfer terms in writing. Paying a tooling fee does not, by itself, describe all of those arrangements; use the agreed project documents.
Identify the mold or tool, the design and CAD deliverables, who keeps them, and what is included in a reorder. Agree on replacement or modification costs and release conditions rather than treating a one-time fee as a promise that all future tooling work is free.

Specify the base material, target color, thickness and any applicable finish or testing requirements. Confirm the proposed plating system for the actual component and record the approved specification; do not assume one layer count applies to every project.
Gold-plated brass and gold vermeil on sterling silver are different material routes. Compare the base metal and finish choices, then review the proposed construction and finish for the design. A photograph or a generic layer count does not establish thickness, wear performance or testing results.
