A repeat jewelry order needs more than a photograph of the previous delivery. The approved sample, written specification and agreed revisions should remain connected. These references help a brand explain what must be retained and what, if anything, is changing in the next production run.
For XiKe’s custom 925 sterling silver, brass, pearl and natural gemstone projects, keeping a clear reference supports the discussion from sampling through small runs and reorders. It does not mean that every natural material or production batch will be identical. Define acceptable variation and approval requirements before placing the repeat order.
Keep a reorder reference together
| Reference | What it should identify |
|---|---|
| Sample | The approved piece and associated photographs |
| Design version | Current drawing or CAD reference and revision |
| Materials | Base metal, pearl or stone details and approved choices |
| Finish | Agreed color, texture and plating specification |
| Branding | Logo artwork version, size and placement |
| Changes | Any proposed revision requiring approval |
Identify which version is being reordered
A collection can accumulate several references: an early CAD image, a revised sample and photographs from a later delivery. State which reference represents the current approved design. If dimensions, finish or branding changed during development, make sure the written specification reflects the approved result.
When a reorder includes a new size or an altered component, describe the change explicitly. An adjustment should not disappear into a message asking for “the same again.” Use CAD and prototyping to discuss whether a revised reference or sample is needed for the new brief.
Record appearance as well as dimensions
The base metal and measurements are essential, but they do not explain every visual decision. Keep the agreed finish color and texture visible in the record. For branded pieces, retain the supplied logo file and approved position rather than assuming the artwork in a new email matches the original version.
Pearls and natural gemstones bring additional choices. Specify the appearance or matching range approved for the collection. An individual stone or pearl is not a promise of zero variation across later batches. Refer to the pearl development and natural gemstone development services when discussing material requirements.
Approve changes before they become substitutions
If a material or design detail needs to change, identify the proposal and its effect on the brief before production. A replacement should not be treated as automatically acceptable because it appears similar in a photograph. Keep the approved decision with the relevant order reference.
Ask how the current order will be checked against the agreed specification and what references should be supplied. The small-batch production service provides the relevant route for discussing repeat quantities and production scope.
Buyer questions
Can a reorder be guaranteed identical?
No zero-difference guarantee is made here. Define the specification and acceptable variation for the actual project.
What should I send for a repeat order?
Send the approved sample reference, current specification, planned quantity and any requested changes.
Can the stone or pearl be substituted?
Any proposed change should be identified and approved against the design requirements before production.
Share the approved reference
Send the brief with the sample reference and reorder requirements so the next run can be discussed from a clear specification.
